3.1Selling Gift Cards

Ensure that all gift card preferences are setup before attempting to sell gift cards. See 2. Installation and Setup for further details.

To sell a gift card, begin by opening a new invoice. From within the POSIM Navigator, go to Sales > Invoicing > Open Invoices.

Enter the customer, salesperson, division or any other details as needed, then scan or handkey the gift card SKU into the "SKU" field.

A prompt will appear the enter the gift card number that is being sold. Scan, swipe or hand key the gift card number into the window, then press "OK."

If the gift card SKU entered was given a predefined amount in General Preferences, the gift card will be automatically added to the invoice and the "Price" will be shown as the the predefined amount.

If the gift card SKU entered was set up with a $0.00 amount in General Preferences, then an additional prompt will appear for the sales clerk to enter the amount. The clerk may ask the customer the desired amount to add to the gift card, then enter the amount and select "OK."

The gift card will be added to the invoice with the specified amount.

If the invoice is ready to be posted, choose a method of payment to complete the sale. If additional items are being purchased or returned, add those items to the invoice and once all items have been entered, choose a method of payment to complete the sale.

3.2Redeeming Gift Cards

Gift cards can be redeemed to use as a method of payment for merchandise that is being sold. Gift cards can also be issued to refund customers with store credit for returns.

Begin by opening a new invoice. From within the POSIM Navigator, go to Sales > Invoicing > Open Invoices. Enter the customer, salesperson, division or any other details as needed.

Scan or enter the SKU for each item being purchased and/or returned.

When the invoice is ready to be posted, choose gift card as the method of payment. The sales clerk can either click on the "Gift Card" payment button located directly on the invoice or press "F6" on the keyboard to use POSIM Quick Keys as a shortcut.

The gift card balance will populate in the "Balance" column. The "Charge Amt" will display the amount that will be deducted from the gift card when posted.

If the total invoice amount is less than the amount available on the gift card, then the total amount will be charged to the gift card and the gift card will have a remaining balance. If the total invoice amount exceeds the gift card balance, then the "Charge Amt" will auto fill with the gift card's available balance and the customer will need to pay the remaining balance with another form of payment.

Verify the amounts in the gift card payment window, then select "OK."

If no balance is left remaining, the invoice will post and become a closed invoice.

If the customer has a remaining balance, select another payment option, then post the invoice.

3.3Gift Card Balances

Gift card balances can be checked two different ways, using POSIM Quick Keys or using the Gift Card Balance utility.

Using Quick Keys

The most efficient way to check a gift card balance is using keyboard shortcuts. Using POSIM Quick Keys, a gift card balance can be checked from an open, working or closed invoice.

On an invoice, select Ctrl + "H" on the keyboard to open the Gift Card Balance window.

Scan or hand key the gift card number into the "Card Number" field, then press tab or enter. The gift card balance will appear in the "Balance" column.

Continue scanning or hand keying additional gift card numbers to check multiple gift card balances at one time.

Press the "Print" button to print a report of gift card balances that appear in the Gift Card Balance window.

Using the Gift Card Balance Utility

A Gift Card Balance utility is located within the Sales Utilities section of POSIM EVO. To open the utility go to Sales > Utilities > Gift Card Balance. The Gift Card Balance window will appear with a place to scan or hand key the gift card’s number.

3.4Gift Card Reporting

One of the key features of GC Link is the ability to report on gift card transactions for multiple stores. GC Link reports can be accessed directly within POSIM EVO or online at http://gclink.posim.com/.

Accessing GC Link Reports

To access GC Link reports within POSIM EVO, go to the POSIM Navigator > Reports > Reports > Gift Card.

Double click on the "Gift Card" report and http://gclink.posim.com/ will open in a new window.

GC Link reports can also be accessed directly through the web by going to http://gclink.posim.com/. With the ability to access reports using the URL, GC Link reports can be accessed anywhere at any time.

A list of the GC Link Reports will appear, including: Recent Transactions, Show Store Transactions, or Manage Balances.

Logging Into GC Link Reports

The first time a user attempts to run a GC Link report, they will be prompted to enter the GC Link username and password. This the same username and password used for 2.1 Connecting POSIM EVO to GCLink.

Click on the hyperlink of the report name to run one of the GC Link reports.

Once "Submit" has been selected, a message will appear prompting the user to enter the GC Link username and password. Type the username and password, then press enter.

The username and password will most likely be remembered (depending on browser settings) and will not need to be entered each time GC Link reports are accessed.

Re-entering Username and Password

If a typo is made or the username and password is entered incorrectly, it may be necessary to clear the cookies within the browser settings and re-enter the information. The steps to clear cookies varies based on the browser that is being used.

Gift Card Reports

There are three GC Link reports that provide details regarding gift card transactions, including:

Each report contains different report parameters that can be entered to filter the report results. These reports can be used to see gift card details for one store location, multiple store locations, a specific gift card ID, gift card activity for a specific date range and more.

Recent Transactions

The "Recent Transactions" report provides details based on specific gift card transaction types, including; PY, SL and CR.

Transaction Types Used for GC Link Reporting

PY (Payment ) - This indicates that the gift card was used as the method of payment on an invoice.

SL (Sale) - This indicates that funds were added to the gift card.

CR (Card Refund) - This indicates that the gift card was used as the method of payment on an invoice that was voided.

The report parameters window will appear. Options include: From Last Used Date, To Last Used Date, From Store ID, and To Store ID.

Date formatting within GC Link reports is as follows: four characters for the year (yyyy), followed by two characters for the month (mm), followed by two characters for the day (dd). Separate the year, month and day using a hyphen. For example: July 20, 2017 would be entered as 2017-07-20.

The report results will appear and show the following information: Date, Store ID, Gift Card Number, Transaction Type, Amount and Total.

The report will show the most recent gift card activity in descending order.

Show Store Transactions

The "Show Store Transactions" report can be used to view specific detail for gift card transactions or it can be used to view a summary for gift card transactions, depending on how much detail is needed. This report can show detailed information such as the store location where a gift card was activated, the last time a gift card was used, the current balance of a gift card and more.

The report parameters window will appear. Options include: From Gift Card ID, To Gift Card ID, Include Zero Values, Use Detail, From Store ID, To Store ID, From Last Used Date and To Last Used Date.

Include Zero Values - Check this box to include gift cards that contain a $0.00 balance in the report.

Use Detail - Check this box to see a detailed history for each gift card based on individual invoices that where the gift card has been sold or redeemed.

If "Use Detail" is checked, the report results will be grouped by Gift Card ID and show the following detail: Gift Card ID, Transaction Date, Invoice ID, Store ID, Transaction Type, Amount, Date Activated, Date Last Used, Balance and Total.

If "Use Detail" is unchecked, the report results will show a summary of gift card information including: Gift Card ID, Date Activated, Date Last Used, Balance and Total.

Manage Balances

The "Manage Balances" report will show a breakdown of total sales, payments, and card refunds (voids) for each individual store within a specified date range. See the transaction types listed under Recent Transactionsfor details.
