3.1Making Adjustments to the Balance Due

In the Open AR Batch, you are able to settle accounts and adjust balance dues. For example, if a company sends you a check that is 20 cents short, you probably aren’t going to make them send you those 20 cents. Instead of having that change sit on the customer’s account for months, you can write it off to settle the account.

Create a new Open AR Batch by selecting the icon under AR Tools on the Navigator.

Enter the customer ID or use the Lookup Customers button to enter the customer information.

Under Payment Type, the last four options are for adjusting the balance.

General Credit

Terms Discount

Finance Charge Write Off

Bad Debt Write Off

Enter the Reference ID for the write off.

Enter the amount that you want to write off and if it is an open item customer, apply it to the correct charge. If it is a balance forward customer, it will be applied automatically to the oldest charge. For more information on how to apply payments, see Making a Payment on Account.

Post the Open AR Batch.

Once the payment has been applied and posted, you can view the adjustment on the Customer Card under the AR Tab.
