4.1Date to Date Pricing

Date to Date Pricing allows you to set up a date range and offer promotional prices for specific items during a defined time period. You can do multiple date ranges for the same promotion and offer different discounts for each time period

Creating a New Promotion

There are two ways to create a new promotion

Select the plus button located to the left of the scroll bar. This will create a new promotion card. The second way to create a new promotion is to use the tool bar. Hover you mouse over the tool bar and select Add from the menu.

Promotion ID

The Promotion ID is a unique twenty character field that is a short definition of the promotion.

Date Created and Last Updated

The Date Created and Last Updated dates are automatically updated fields and cannot be edited.

Date Created

The Date Created field will display the date the promotion was created.

Last Updated

The Last Updated field will display the date that the card was last edited or worked on.

Description

The Description is going to describe what the promotion entails.

Start and End Dates

The Start Date and Time

The Start Date and time will be the first date and time that the promotion is in effect. To set the date, select the down arrow in the field and select the date from the calendar. You can also manually enter the date by typing it in the field. Enter the time by typing it in the field.

The End Date and Time

The End Date and Time will be the date and time that the promotion is no longer in effect. To set the date, select the down arrow in the field and select the date from the calendar. You can also manually enter the date by typing it in the field. Enter the time by typing it in the field.

The time is in military time.

Defining Promotional Pricing

To define the promotion pricing, you will set up an equation that will be applied to the item.

Select the Define button next to Promotional Pricing.

A new window will open with information for you to create a formula to apply to your items.

First you will set the Cost or Price that the promotion will be based on. Select the radio button next to the cost or price that you need.

NOTE:

It is not mandatory to enter an amount in the base amount fields because this information will be taken from the Item Card, however, if you enter actual value in the base amount fields, the sample calculated retail will change depending on the numbers you enter. As you enter other values in the window you will see the affect it has on the base amount.

Next you will need to select between the Margin %, Adjustment %, Adjustment $, or the Markup Factor, depending on what you want to base your promotion price on.

A. Margin %: Select this field if you want to add or subtract a margin % to the base amount. If you entered an amount in the base amount field, you can see the affect in the Sample field at the bottom of the screen.

B. Adjustment %: Select this field to add or subtract a percentage to the base amount. Enter the adjustment percentage in the field.

C. Adjustment Dollar: Select this field if you want to add or subtract a dollar amount to the base amount. Enter the dollar amount in the field.

D. Markup Factor: Select this field if you want to add a markup factor to the base amount. Enter the markup factor in the field.

NOTE:

Any negative numbers in these fields are going to reduce the item's promotion price while positive numbers will increase the promotion price.

The next panel to fill out is the Rounding panel. If desired, select a method of Rounding. Enter the level of rounding and whether you want to round up, down, or to the nearest. Next enter the rounding amount. For example: if you want to round to a whole number, enter 1.00. When rounding to five cents, enter .05.

Less: In the Other panel, the Less field is if you desire to have an amount subtracted from your total amount. For example, if you want your price to enter in .95, round to 1.00 less 0.05.

If you do not want to base the promotion price on a calculation, you can set a price by selecting the Fixed Price checkbox and entering the price that you want set as the promotion price.

When you have finished entering the formula, select OK.

When you have finished entering the formula, you will see it displayed to the right of the Define button.

If you need to edit the formula, click the Promo button and you can change anything you need.

Entering Items into the Table

After you have set the parameters of the promotion, you can select the items that will be in the promotion.

There are two ways to enter items into the promotion table

1. Manually Enter the SKU / Lookup

2. Dynamic Items

Manually Enter the SKU / Using the Lookup

If you know the item’s SKU you can enter it in the SKU field and the item will be entered into the table.

Using the Lookup

If you do not know the Item SKU or if you would like to enter multiple items at once, you can use the lookup.

A search window will open. Find the items that you would like to enter in the table. For more information on how to use this window, see Advanced Search.

Once you have the items needed, select OK.

NOTE:

In the promotion tables, the white fields can be edited. Those fields are the SKU, Promo Price, and Margin %. You can edit these fields by clicking in them and entering the new information.

When these items are entered into an Open Invoice, the promo price will be automatically entered. When you hover over the Price column, a tech tip will appear telling you where the price came from. For more information, see Open Invoice.

Dynamic Items

Dynamic Items means that you can have items automatically be added and removed the list of promotional items based on Item card filters. For example, lets say you have a Date to Date pricing card for all the items in your "Books" department. You can now set up a filter that will automatically add your new books to this list as the items are created in the database.

Add or Modify Dynamic Items Filter

Click the "Dynamic Items" button. You will see the following:

To add a new filter, click Add. To Modify an existing filter, click on it, and then click Edit.

Select a Field name to filter on.

Type in a Single value or a Range of values. Then click OK. And then click OK again.

You can add or delete more filters to target the right part of your inventory. As you add Items to your database that match the filter criteria, they will automatically be included in the this Date to Date pricing.

Family Group Pricing

Family Group Pricing allows you to take a certain group of items and apply specialized discounts to those specific items. For example, you are able to set up a discount for buy one get one free or you could set up a discount where if you spend over fifty dollars, you get 15 percent off your total. These examples are just two of many options that you are able to apply to a group of items.

To access Family Group Pricing, go to the Navigator, Sales, Utilities, and select Date to Date Pricing. In the Date to Date Pricing window, you will set the date and times that the discounts are applicable, as well as select the items receiving the discounts.

For more information on how to set these parameters, see Date to Date Pricing. The only difference is that you will not set a promotion.

Once you have entered your items into the Date to Date Pricing Card, select the Define button next to Family Group Pricing.

On the Date to Date Pricing Card, down in the Item Navigation table, under the Family Group tab it says, No Family Group Pricing Listed. This is how you will differentiate between date to date pricing promotions, and family group pricing promotions.

There are two different ways to apply family group pricing, through dollar amount, or quantity. In the Target Qualifier panel, select either Target Dollar or Target Quantity.

Target Dollar

When you select target dollar, the discount you are applying will go into effect when a certain dollar amount is reached.

A. Discount % on All Group: This will apply the discount to the entire purchase once the target dollar is reached.

B. Discount % on the Next Item: This will apply the discount to the next item only, once the target dollar is reached.

C. Free Quantity: This will give a free item(s) once the target dollar is reached.

D. Fixed Dollar Discount: This will give a discount of a set dollar amount after the target dollar is reached.

E. Total Price for Group: This allows you to set a specified total for the purchase after the target dollar is reached.

After selecting a discount method, you will set the discount level.

NOTE:

You will notice that as you choose between different discount methods, the discount level box changes to fit the specific discount method.

In the discount level panel, you will first set the target dollar. This is the dollar amount that will trigger the discount. As soon as you enter the dollar amount and select the Enter key, a new level will appear.

Next you will enter the discount. As mentioned above, the discount method you have selected determines the information you will enter in the second column. For this example, we will enter the discount percent on the entire group.

According to the discount, for every ten dollars spent, the customer will receive 15 percent off on his group of items.

Once you have entered all the discounts, you will need to look at the Discount Rules. Decide whether you want the discounts to apply for each target acquired, or if you want to discount all the items.

NOTE:

The option to Discount All is only offered when Discount % on All Group is selected in Discount Methods. For every other discount method, the discount will automatically be Discount for Each Target.

Once you have entered all the discount levels and selected discount rules, when applicable, select OK.

When the window closes, you will be on the Date to Date Pricing Card. You will see that next to the Group button and under the Family Group Pricing column, the discount will be listed.

Viewing Target Dollar in an Open Invoice

When the dollar quantity is set in the Family Group Pricing window, any items that match the perimeters will receive the discount in the Open Invoice.

Target Quantity

When you select target quantity, the discount you are applying will go into effect when a certain quantity is reached.

Adding and Deleting Promotions

There may be circumstances where you want to keep the same promotion with the same items, but the dates and promotion price will change. If this is the case, you can add and/or delete promotions.

A second line will be added to the Item Navigation panel. It will have the same information as the line above it.

Edit the Range Detail panel to include information for the new promotion. As you change information in the Range Detail panel, the second line in the Item Navigation panel will change. If you change the Promotion formula, the promo price will change in the table.

You can add or delete items in the table for the new promotion by using the Load Items button, or highlighting the item and pressing the Delete key.

When all the information has been entered, you will be able to click on either the top line or the second line to see the differences in the promotions.

As soon as the first line’s End Date and Time have passed, the first promotion will be over. The second line promotion will start as soon as the Start Date and Time are triggered.

NOTE:

There is no limit to promotions that can be added to one card.

Deleting a Promotion

If the time period has expired for a promotion, or you no longer need a promotion, you can delete it from the Item Navigation panel.

NOTE:

If you delete a promotion that is the only existing promotion on the card, it will still delete the promotion and the card will become blank.

Coupon Option

By default, a Date to Date promotion will be automatically activated on the Invoice as long as the Invoice is being calculated during the valid Start and End dates. This Coupon Option allows the merchant to have more control about when the Date to Date promotion will be activated on an Invoice.

When the box is checked, the Date to Date promotion will not be automatically activated on the Invoice. The clerk must enter, or scan, the Promotion ID into the SKU field on the Invoice for the promotion to be activated. Essentially this is treated as a coupon.

How to use the Coupon Option on an Invoice

Create a new Invoice and enter qualifying items. The Invoice below simply has two items, they are both on the list of qualifying items for the Date to Date promotion. However, the promotion has not been activated yet.

The clerk will enter, or scan, the Promotion ID as the coupon in the SKU field. This will activate the promotion.

The Invoice will still need to be calculated during the valid Start and End dates of the Date to Date promotion.

The Invoice will document that there was a coupon with a Non-Print Comment. You can also hover your mouse over the Price field to be shown the Discount Reason.

4.2Cash In/Out

The Cash In/Out Window keeps track of the money that is added or taken out of the till. To open the window, go to the Navigator, select Sales, Utilities, and open Cash In/Out.

An ID will automatically be assigned to each entry.

You will need to select the Computer the money is coming out of or in to, the Clerk entering the information, and the Date and Time that the entry is being made.

Next choose whether the entry is cash in or cash out.

Enter the Amount and Reference Number.

In the Description field, you will type either debit or credit. Debit is for Cash Out entries, Credit is for Cash In entries.

Select a reason code for the entry. Select the down arrow next to the field and the list of reason codes will appear for you to choose from.

When you are finished entering information, select Okay. The next time the window is opened, the entry will be entered in the Adjustment History.

4.3Ending Tills

Ending Tills allows you to balance each register in the store. You will run Ending Tills at the end of every day for every single day.

Running Ending Tills

At the end of every day, you will balance your registers using Ending Tills. To run your Ending Tills, go to the Navigator, select Sales, Utilities, and open Ending Tills.

Select if you want to run the report by Computer, Clerk, or All Registers. Make sure the Effective Date is correct and select OK.

NOTE:

If you have the need to run tills a second time for a certain day, checking the Force Recalculation check box will allow you to redo the Ending Tills for that day.

The screen displays:

A. Effective Date: This is the date that the tills are being calculated for.

B. Beginning and Ending Invoice ID: These fields list the first and last invoice being included in these tills.

C. Prior Day Drawer: This is the amount that was in the till at the beginning of the day.

D. Cash In/Out: If money was taken out of or put in a till by using Cash In/Out, it will be automatically recorded here.

E. Fund From Sales: This field shows the amount to be included in the deposit for the day. This amount is calculated from the items checked in the Method of Payment list found in the Details Button.

F. $ Left in Drawer: This is the money being left in the till for the next business day. If you select this button, the Ending Tills Cash Counter Window will open. Enter the information for the till, and select OK. The total from the Cash Counter window will be automatically entered in this field.

G. Estimated Deposit: This field is automatically calculated by adding the Prior Day Drawer amount and the Funds from Sales amount and then subtracting the Ending Till(s) amount.

H. Actual Deposit: This field is where you will enter the actual amount of money being deposited or taken to the bank.

I. Over/Under: This field is automatically calculated by subtracting the Actual Deposit amount from the Estimated Deposit amount. It shows any discrepancies between the funds you should have for deposit and the funds you actually have for deposit.

Print the Ending Tills by selecting the Print button.

A. Choose print format. Invoice will print on 8.5 x 11 papter. Receipt will print on your Star Receipt Printer. The option you selected here will be remembered for the next time you print.

After you have run Ending Tills, run a Sales Report and compare them to ensure everything is correct.

Events

On the Ending Tills window is an Events Button. The Events Window is a place where you can enter useful information for determining any variables that may be related to sales for the day. Using this window is optional.

Details

The Details Window has three tabs, Ending Tills, Statistics, and Sales Tax.

Ending Tills

The Ending Tills Tab breaks out the different method of payments and shows you how much money was paid with each different method of payment. It also displays the different transaction types, and the amount that used each transaction type.

Statistics

The Statistics Tab is information and statistics for that particular day.

Sales Tax

The Sales Tax Tab shows reportable and exempt sales tax information to give you a record of the sales tax for the day. The information is broken up into sales tax groups, and then whether it was taxable or exempt.

4.4Credit Card Audit Report

This report shows a list of all credit card transactions that were authorized within the given date range. You can use this report to compare with the results of queries you receive from your gateway provider.

4.5Special Order Status

This report shows the status of all outstanding special orders within the system using the advanced search window.

4.6Layaway Status

This report shows the status of all outstanding layaways within the system using the advanced search window.

4.7Best Customer Report

This report creates a list of customers based on activities and volume.

Print Customer Address Labels

Use the filters to create a list of Customers you would like to print mailing labels for. Once you have the list, click "Print Labels".

4.8Customer Reward History

This report shows how many rewards points customers are accumulating during a period of time.

4.10Gift Card Balance

This window is very simple to use. You will need to enter the Gift Card number in the first column, and select the Enter key. The balance remaining on that card will show in the Balance column.
